Job description
Role Overview:
Our client is seeking an experienced Administration Assistant in their busy office.
The primary purpose of this position is to provide accurate, timely, focused and efficient administrative support to Councillors, along with diary management, all whilst maintaining responsive and effective liaison and communication with the offices of Lord Mayor and other Councillors, Chief Executive Officer, City Executive, members of the community and other key stakeholders.
Key Responsibilities:
- Provide effective administrative support services within the Councillor office.
- Ensure that all communication received is responded to, or escalated, in a prompt and professional manner, using the appropriate protocols.
- Follow all company policies and procedures to maintain quality and efficiency.
- Diary Management.
- Prioritising and collecting all relevant documentation prior to meetings.
- Demonstrate initiative and proactively support the office as a team member to help achieve the Councillor's goals and ensure successful outcomes.
- Maintain excellent customer service and develop effective professional working relationships with all stakeholders.
- Managing requests for information and assistance.
Requirements:
- Certificate IV in business administration or similar qualification.
- Demonstrated knowledge and experience working with databases, including relevant PC applications in addition to records, information and knowledge management systems.
- Demonstrated extensive experience in high level office management including the provision of administrative support services to a busy team in a complex and high-profile situation.
- Ability to balance competing priorities, work to deadlines and to respond in a flexible manner to work requirements noting the urgency and requirement to provide support
