Company Overview:

Our client's mission is to build and deliver specialised services to empower Aboriginal young people. They are currently seeking a highly organised and proactive Executive Assistant to join their team and provide comprehensive support to their senior executives.

Indigenous Identified Role

Salary: 90,000 - 110,000 per annum

Location: Central Coast, NSW

Role Overview:

As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of their executive office. You will be responsible for managing a wide range of administrative tasks, facilitating effective communication, and ensuring that the executives' needs are met efficiently and professionally.

Key Responsibilities:

  • Executive Support: Provide high-level administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.
  • Communication Management: Act as a liaison between executives and internal/external stakeholders, handling correspondence, phone calls, and emails with discretion.
  • Meeting Coordination: Assist in Management and Director meetings, organise and prepare materials for meetings, including agendas, reports, and presentations. Attend meetings, take minutes, and follow up on action items.
  • Document Management: Implement and review policies and procedures, maintain staff register, plan staff development schedules.
  • Project Support: Assist in marketing, promotional activity, and digital activity.
  • Office Management: Oversee office supplies, monitor budgets, equipment maintenance, and ensure a professional office environment.
  • Assist in staff recruitment: Onboarding, performance appraisals, transitions and succession planning.

Requirements:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Exceptional organisational and time-management skills with the ability to multitask effectively.
  • Strong written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Flexibility to adapt to changing priorities and tasks.
